Frequently Asked Questions
Why is Certified Nanny Care different than other nanny placement agencies?

Certified Nanny Care provides qualified and, most importantly, certified nannies. We provide your family with personalized service, protocols for safe hiring and background checks, and an excellent support process for hiring and onboarding your nanny. Certified Nanny Care also has an amazingly flexible set of payment options: (1) One time Placement Fee (2) Full-Service Employment model.

What are the going rates for nannies in my area?

In the state of California, nannies are typically requesting above the minimum wage, as well as one to two weeks of paid vacation time, paid holidays off, paid sick time, and a healthcare stipend or healthcare benefits. It is customary to pay more per hour for a higher number of children, or for hours which fewer staff wish to work (e.g., overnight shift, weekends).

How will I pay my nanny?

We have two options for nanny hiring. California, and several other states, have specific laws about employees and many domestic workers such as nannies are required by the state to be W-2 employees on payroll. Option 1. After our process is completed, you pay your nanny on your own as your employee. We provide a vetted list of recommended payroll companies to use. You set the payment method up with your nanny. Option 2. We offer a full-service employment model where we hire your nanny, handle payroll, worker’s compensation, California legally required posters, and all other aspects of employment.

Will I need worker’s compensation insurance for my nanny?

In the state of California, yes, you are legally required to provide worker’s compensation insurance. We have information about how to do this easily and quickly in our nanny onboarding checklist for families.  With our employment model, we provide worker’s compensation for your nanny.

How will I provide my nanny with a W-2?

A W-2 is a legally required tax form provided to employees to show how much they have earned. Most payroll companies will charge a fee at the end of the tax year to prepare this for you. This is something that we can provide annually if your nanny works as an employee for us.

Can't I just pay my nanny in cash?

There are several reasons why paying a nanny in cash is not recommended. Here are some important points to consider:
Legal and tax obligations: Paying a nanny in cash may lead to non-compliance with legal and tax obligations. Depending on your jurisdiction, you may be required to report wages paid to employees, including nannies, and withhold and remit applicable taxes. Cash payments can make it difficult to maintain accurate records and fulfill these obligations, potentially exposing both the employer and the nanny to legal and financial consequences.
Lack of documentation: Cash payments lack proper documentation, such as pay stubs or receipts. It can make it challenging to keep a clear record of payments made, hours worked, or any other relevant employment details. This can create confusion or disputes in the future regarding wages, benefits, or work-related issues.
Protection for both parties: Transparent and documented payment methods, such as checks or direct bank transfers, provide a level of financial protection for both the employer and the nanny. They create a clear trail of payment, ensuring that the nanny receives their wages on time and in the agreed-upon amount, while also offering the employer proof of payment.
Employment verification: Paying a nanny in cash may raise concerns during employment verification processes. For example, if the nanny needs to provide proof of income for a loan application, rental agreement, or immigration purposes, cash payments may not be considered acceptable documentation.
Building trust and professionalism: Using formal payment methods, such as checks or direct bank transfers, contributes to a professional and trustworthy relationship between the employer and the nanny. It demonstrates a commitment to following proper employment practices and treating the nanny as a legitimate employee.
Insurance and benefits: Paying a nanny in cash may affect their eligibility for certain benefits, such as health insurance or workers’ compensation. Some insurance policies require proof of employment and wage documentation to provide coverage for the nanny.
Record-keeping and budgeting: Employers often need to maintain accurate financial records and budget for household expenses. Cash payments can make it challenging to track and manage expenses related to the nanny’s wages, taxes, or other employment costs.
It’s important to consult with legal and tax professionals in your jurisdiction to ensure compliance with local regulations and employment laws when hiring a nanny. Establishing a proper payroll system and using formal payment methods not only helps maintain legal compliance but also provides a transparent and professional framework for the employment relationship.

What is an I-9 and why do I need one for my nanny?

An I-9 form is used for verifying the identity and employment authorization of a worker in the USA. It is legally required for every employee to fill out within 72 hours of their first date of hire, according to current laws in 2023, which are subject to change. Your employee will need to provide the appropriate documents to demonstrate identity and legal ability to work in the United States. Section one is filled out by the employee. Section two is filled out by the employer with the correct documents listed on the correct columns
